Internal Position Descriptions

 

Chief Executive Officer

The CEO is responsible for managing all firm operations and serves on the PRSSA executive board to maintain communication between the firm and the chapter. The CEO regularly meets with staff and the executive board. The CEO must have a passion and initiative to help the firm continue to grow and prosper.  

Duties include, but are not limited to, the following:

  • Select staff with the help of the Vice President of Operations.

  • Maintain ongoing contact with the firm, faculty and professional adviser.

  • Client recruitment and approval.

  • Send contracts and invoices to clients.

  • Maintain contact with Account Executives to ensure mutual understanding of projects and satisfactory progress.

  • Point of contact for clients. Meets with clients to discuss objectives and deliverables.

  • Conduct leadership and general assembly meetings.

  • Evaluate, motivate, and hold firm members accountable.

  • Establish communication between the firm and the PRSSA chapter.

  • Maintain contact with clients and Account Executives to ensure satisfactory progress.

  • Offer commitment and professionalism to the firm and its activities.

  • Make sure the firm meets PRSSA National standards.

  • Serve on GV PRSSA Executive Board.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Vice President of Operations

The VPO serves as the CEO’s counsel on decisions made within the firm. The VPO must be very organized and systematic to help keep the CEO on track and organized. The VPO helps the CEO oversee the firm’s internal (leadership and relationships) structure. The VPO also keeps track of all the firm’s finances.  

Duties include, but are not limited to, the following:

  • Perform CEO’s duties in their absence.

  • Act as a human resource manager with the hiring, warning, and firing process.

  • Manage finances and assists the CEO in preparing annual budget and proposal plans.

  • Ensure appropriate resources are available for Account Executives, such as professional assistance, reimbursement, and digital resources.

  • Supervise, assist, advise, and evaluate Account Executives and Account Associates during meetings. Report to the CEO.

  • Take attendance at meetings and ensures staff are present and active in external events.

  • Maintain documentation of GrandPR's activities throughout the year.

  • Create and distributes bi-weekly newsletter.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Media Director

The Media Director works directly with the CEO and VPO to manage the firm's digital presence. The Media Director is detail oriented, organized, in-tune to social media trends, and readily available.

Duties include, but are not limited to, the following:

  • Master GrandPR's social media appearance and help increase awareness of firm.

  • Post regularly on the firm’s Facebook, Twitter,  and Instagram platforms.

  • Create a content calendar and utilize a scheduling service.

  • Promote events and opportunities for staff and the GVSU community through social media.

  • Monitor digital trends to capitalize on social conversations on behalf of GrandPR.

  • Continuously engage with social media publics (retweet, like, share, post articles, reply, monitor comments).

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Firm Editor

The Firm Editor works directly with CEO and VPO to ensure all GrandPR deliverables are well written and error free, as well as coordinates the firm's blog. The Firm Editor has a keen eye for improvement and is able to provide constructive criticism.

Duties include, but are not limited to:

  • Edit all firm documents, press releases, blogs, general client campaign work, and any additional writing pieces created by GrandPR staff. Editing responsibilities include grammar, word choice, AP style, spelling, and formatting.  

  • Maintain, update and populate the GrandPR website.

  • Create and execute a blogging calendar.

  • Post blogs on the GrandPR website.

  • Submit blogs to PRSSA National.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Programming Director

The Programming Director works directly with the CEO and VPO to manage the firm's internal and external programming initiatives. The Programming Director has strong communication skills and a passion for event planning.

Duties include, but are not limited to, the following:

  • Plan and coordinate social events for GrandPR staff (i.e. end-of-semester dinner, team building events).

  • Plan and coordinate professional development workshops.

  • Collaborate with Media Director to promote events through social media and blogging.

  • Establish relationships with other student organizations to create mutually beneficial partnerships to promote events and opportunities on campus.

  • Assist CEO with planning activities as needed.

  • Assist the CCO and AEs with external relations (thank-you letters and firm social events, etc.).

  • Facilitate engagement in PRSSA National opportunities (i.e. CreateAthon).

  • Coordinate professional staff photoshoots.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Creative Director

The Creative Director works directly with the CEO to create and manage all graphic visuals for GrandPR. The Creative Director leads a team of Design Associates to produce deliverables. The Creative Director is open-minded, forward thinking, and able to provide productive feedback.

Duties include, but are not limited to, the following:

  • Provide graphic design direction and intuition.

  • Uphold GrandPR's existing brand standards.

  • Evaluate creative briefs.

  • Delegate design work among Design Associates.

  • Direct accounts in matters involving logos, graphics, layouts, posters, flyers, website design, etc.

  • Approve all design-aspects of materials before being distributed.

  • Maintain and update the design of the GrandPR website.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Design Associate

The Design Associate reports directly to the Creative Director and works with Account Executives and Account Associates to create graphic design deliverables for GrandPR.

Duties include, but are not limited to, the following:

  • Provide unique graphic design deliverables delegated by the Creative Director.

  • Uphold the firm's existing brand standards.

  • Assist all accounts in matters involving logos, graphics, layouts, posters, flyers, website design, etc.

  • Design GrandPR internal assets, event headers, blog headers, social media graphics, business cards etc.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

Account Executive

Account Executives are in direct communication with the CCO and their assigned GrandPR client. The Account Executives represent the firm and must be professional, responsible and ethical. They lead a team of Account Associates, delegating tasks to produce unique deliverables and exceed client expectations. Account Executives report consistently to the VPO through written and oral reports.

Duties include, but are not limited to, the following:

  • Develop goals and objectives with Account Associates according to the client's proposal.

  • Complete an effective campaign plan for each client assigned.

  • Obtain client permission to implement tactics and communicate the plans of the firm, keeping the client’s goals in focus.

  • Keep team on track, motivate Account Associates with reminders, and make sure each Associate participates in every project.

  • Maintain a continuous and complete file of activities and completed project via Basecamp.

  • Maintain regular communication with the client.

  • Complete a detailed weekly activities report for billable clients.

  • Fill out creative briefs and assign them to the Creative Director via Basecamp.

  • Proofread all client-work prior to the Firm Editor’s review.

  • Attend GV PRSSA meetings.

  • Blog for GrandPR.

 

Account Associate

Account Associates are responsible for maximizing their own experience in the firm, under the direction of their assigned Account Executive. Account Associates will be asked to outline individual goals for themselves and evaluations will be held periodically. Account Associates are eager to learn, jump at new opportunities, and assist with projects.

Duties include, but are not limited to, the following:

  • Report to Account Executive for directions and guidance.

  • Actively participate in account activities.

  • Meet all deadlines.

  • Continually assess client needs and find new ways to creatively and strategically prove public relations worth.

  • Update the firm's project management software, Basecamp, with all completed work.

  • Attend GV PRSSA meetings.
