Internal Position Descriptions

 

Chief Executive Officer | The CEO is responsible for managing all firm operations and serves on the PRSSA executive board to maintain communication between the firm and the chapter. The CEO regularly meets with staff and the executive board. The CEO must have a passion and initiative to help the firm continue to grow and prosper.  Duties may include, but are not limited to, the following:

  • Selects staff with the help of the Vice President of Operations.
  • Maintain on-going contact with the firm, faculty and professional adviser.
  • Conduct leadership and general assembly meetings.
  • Approves and signs contracts with clients.
  • Evaluate and motivate firm members and hold them accountable.
  • Establish communication between the firm and the rest of the PRSSA chapter.
  • Maintain contact with clients and Account Executives to ensure satisfactory progress.
  • Offer commitment and professionalism to the firm and its activities.
  • Makes sure the firm meets national standards.

 

Vice President of Operations | The VPO serves as the CEO’s counsel on decisions made within the firm. The VP of Operations must be very organized and systematic to help keep the CEO on track and organized. The VP of Operations helps the CEO oversee the firm’s internal (leadership and relationships) structure. The VP of Operations also keeps track of all the firm’s finances.  Duties may include, but are not limited to, the following:

  • Supervise all Account Executives and offer help to the firm’s staff.
  • Assist, advise, and evaluate executives during meetings and report to the CEO.
  • Manage finances and bill clients.
  • Perform CEO’s duties in their absence.
  • Acts as a human resource manager with the hiring and firing process.
  • Assists the CEO in preparing annual plans including budgets and proposals.
  • Ensure appropriate resources are available for Account Executives, such as professional. assistance, reimbursement, and digital resources.
  • Maintain file of activities.
  • Takes attendance at meetings and ensures staff are present and active in external events.
  • Creates and distributes bi-weekly newsletter.

Client Communications Director | The client communications chair helps the CEO oversee the firm’s external (client) affairs. The CC serves as the CEO’s counsel on client selection and Request For Proposal (RFP) review. The Client Communications Chair works directly with the CEO and VPO to complete administrative duties within GrandPR. Duties include, but are not limited to, the following:

  • Review/approve writing pieces and proposals from Account Executives.
  • Oversee and approve client recruitment, meets with clients to discuss objectives.
  • Maintain contact with clients and Account Executives to ensure satisfactory progress
  • Blog for GrandPR.
  • Assists CEO in client project management and ensures the quality of deliverables.
  • Assists the CEO in preparing annual plans including budgets and proposals.

 

Media Director | The Media Director works directly with the CEO and VPO to manage the firm's digital presence. Duties include, but are not limited to, the following:

  • Master of social media and helps increase awareness of firm (establish a presence on all digital platforms).
  • Blog for GrandPR.
  • Posts regularly on firm’s Facebook , Twitter,  and Instagram pages.
  • Acts as a trend monitor to capitalize on social conversations on behalf of GrandPR.
  • Continuously engage publics using digital platforms (retweet, post articles, reply).
  • Promote events and opportunities for staff and the GVSU community through social media.

 

Firm Editor |  The firm editor works directly with CEO and VPO to ensure well written and error free work on behalf of GrandPR. Other responsibilities include, but are not limited to:

  • Editing all firm documents, press releases and general client campaign work, along with any other writing pieces created by GrandPR staff. Editing responsibilities include grammar, word choice, AP style, spelling, and formatting.  
  • Posts blogs on the GrandPR.
  • Responsible for creating and executing a blogging calendar.

 

Programming Director | The Programming Director works directly with the CEO and VPO to manage the firm's internal and external programming initiatives. Duties include, but are not limited to, the following:

  • Responsible for planning and coordinating social events for GrandPR staff (i.e. end-of-semester dinner, team building events).
  • Responsible for planning and coordinating monthly professional development workshops.
  • Works with Media Director to promote events through social media and blogging.
  • Works with Creative Director to create promotional materials for all external programming.
  • Establishes relationships with other student organizations to create mutually beneficial partnerships to promote events and opportunities on campus.
  • Assist CEO on activity planning as needed.
  • Assist the accounts with external relations (thank-you letters and firm social events, etc.).
  • Responsible for facilitating engagement in National opportunities (i.e. CreateAthon).
  • Blog for GrandPR.

 

Creative Director | The Creative Director works directly with the CEO and CC to create and manage any graphic design aspects of the firm. Duties may include, but are not limited to, the following:

  • Responsible for anything related to graphic design.
  • Upholds the firm's existing brand standards.
  • Evaluate creative briefs
  • Delegates design work among Design Associates.
  • Assist all accounts in matters involving logos, graphics, layouts.
  • Blog for GrandPR.
  • Could be involved in projects, such as posters, flyers, website design, etc.
  • Approves all design-aspects of materials before being distributed.
  • Responsible for maintaining and populating the website.

 

Account Executive | Account Executives are the main client contact. The account executive must be professional, responsible and ethical because they represent the firm. Account Executives should report consistently to the firm’s executive board through written and oral reports. This ensures that the client is well served and that all Associates are participating. Duties include, but are not limited to, the following:

  • Develop goals and objectives with his/her account members according to the proposal.
  • Completes an effective campaign plan for each client assigned.
  • Obtain client permission to implement tactics and communicate the plans of the firm, keeping the client’s goals in focus.
  • Motivate Account Associates with reminders and makes sure each Associate participates in all projects via the agreed upon channels for their individual team members.
  • Maintain regular communication with the client.
  • Complete a detailed weekly activities report for billable clients.
  • Maintain a continuous and complete file of activities and completed project via Basecamp.
  • Fills out creative briefs and assigns them to Creative Director via Basecamp.
  • Blog for GrandPR.
  • Proofread all client-work prior to the Firm Editor’s review.

 

Design Associate | The Design Associate works directly with the Creative Director to create and manage any graphic design aspects of the firm. Duties may include, but are not limited to, the following:

  • Responsible for anything related to graphic design as delegated by Creative Director.
  • Upholds the firm's existing brand standards.
  • Assist all accounts in matters involving logos, graphics, layouts.

  • Involved in projects, such as posters, flyers, website design, etc.

 

Account Associate |  Account Associates are responsible for maximizing their own experience in the firm, under the direction of the Account Executives. Account Associates will be asked to outline individual goals for themselves and evaluations will be held periodically. Duties include, but are not limited to, the following:

  • Actively participate in account activities.
  • Meet all deadlines.
  • Look to Account Executive for directions and guidance.
  • Continually assess client needs and finds ways to creatively and strategically prove public relations worth.

  • Update the firm's project management software with all completed work.
